Responsibilities
- Manage and coordinate complex calendars, scheduling appointments, and arranging meetings for senior leadership.
- Handle incoming and outgoing communications, including email, phone calls, and correspondence, ensuring a professional image for the company.
- Prepare, compile, and sort documents for data entry and record-keeping, ensuring accuracy and confidentiality.
- Assist with travel arrangements, including booking flights, hotels, and itineraries for regional business trips.
- Coordinate office activities and supplies, including ordering inventory and maintaining a tidy workspace.
- Support the Texas branch operations by providing administrative assistance via remote channels when necessary.
- Process invoices, expense reports, and general accounts payable/receivable tasks.
Qualifications
- High school diploma or GED required; Associate’s degree or higher preferred.
- Minimum of 2 years of experience in an administrative or executive assistant role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Excellent verbal and written communication skills with a professional tone.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Experience with basic accounting software or ERP systems is a plus.
- Must be reliable, punctual, and able to work independently with minimal supervision.
