Responsibilities
- Greet and Welcome Guests: Provide a warm and professional reception experience for all visitors, clients, and employees entering the Oklahoma City office.
- Manage Communications: Answer and direct incoming calls with exceptional phone etiquette; take accurate messages and forward them promptly.
- Schedule Management: Assist in coordinating meeting rooms, scheduling appointments, and managing the executive calendar to ensure smooth operations.
- Front Office Administration: Handle incoming and outgoing mail, manage package deliveries, and maintain the cleanliness and organization of the reception area.
- Data Entry: Update and maintain digital records, databases, and filing systems with a high degree of accuracy.
- Vendor Liaison: Interact with delivery personnel and service vendors as needed to support office functions.
Qualifications
- Experience: Minimum of 1-2 years of professional receptionist or administrative assistant experience preferred.
- Education: High school diploma or GED required; additional certification in office administration is a plus.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Superior verbal and written communication skills with a professional and friendly tone.
- Flexibility: Ability to adapt to changing priorities and maintain a flexible schedule.
- Interpersonal: Strong customer service orientation with the ability to work well in a team environment.
