Responsibilities
- Front Desk Management: Greet visitors and clients with a professional demeanor, manage incoming calls, and direct inquiries to the appropriate departments.
- Data Entry: Accurately input, update, and maintain data in our CRM and internal databases with a focus on speed and precision.
- Administrative Support: Prepare and distribute correspondence, manage mail, and handle filing systems both physical and digital.
- Scheduling: Assist with calendar management and appointment scheduling for internal staff and external stakeholders.
- Inventory Control: Monitor office supply levels and place orders as needed to ensure daily operations continue without interruption.
- Report Generation: Compile basic reports and statistics from entered data to assist management in decision-making.
Qualifications
- Experience: Minimum of 1-2 years of experience as a receptionist or administrative assistant with data entry duties.
- Education: High School Diploma or GED required; Associate’s degree in Business Administration is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with database management software (e.g., Salesforce, QuickBooks).
- Typing Speed: Demonstrated typing speed of 40+ WPM with high accuracy.
- Communication: Excellent verbal and written communication skills, with a professional phone etiquette.
- Organization: Strong attention to detail and the ability to multitask effectively in a busy office environment.
