Responsibilities
- Manage complex calendars, schedule appointments, and coordinate travel arrangements for executives and staff.
- Handle incoming communications, including phone calls, emails, and mail, with a professional and courteous tone.
- Prepare, organize, and file important documents, contracts, and reports to ensure accurate record-keeping.
- Assist in the coordination of company events, meetings, and team-building activities.
- Process invoices, purchase orders, and expense reports promptly and accurately.
- Act as the primary point of contact between various departments and external clients.
- Maintain office supplies inventory and order new materials as needed.
- Perform data entry and update internal databases with current information.
Qualifications
- High school diploma or GED required; Associate’s degree or certification in Office Administration preferred.
- Minimum of 2 years of proven experience as an Administrative Assistant or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Ability to work independently and take initiative.
- Reliable transportation for potential travel between Oklahoma City and Dallas, TX locations.
