Responsibilities
- Front Desk Operations: Greet all visitors and clients warmly, manage the reception area, and answer multi-line phone systems professionally.
- Communication Hub: Route incoming calls and emails to the correct departments promptly; take accurate messages when necessary.
- Appointment Management: Schedule appointments and manage the calendar for the weekend office staff to ensure smooth operations.
- Administrative Support: Handle mail distribution, manage office supplies, and assist with data entry and filing tasks.
- Customer Relations: Address visitor inquiries and provide directions or assistance to ensure a positive experience.
- Security & Access: Monitor visitor logs and manage access control systems for the building.
Qualifications
- Experience: Minimum 1-2 years of experience in a receptionist or administrative support role.
- Availability: Must be available to work weekends (Saturday and Sunday) on a consistent basis.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a polished, professional demeanor.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Flexibility: Willingness to adapt to both on-site (Virginia Beach) and remote (New York) work styles.
