Responsibilities
- Front Desk Management: Greet visitors and clients with a professional demeanor, manage incoming calls, and direct inquiries to the appropriate personnel.
- Administrative Support: Handle data entry tasks, maintain accurate electronic and physical filing systems, and prepare routine correspondence.
- Office Operations: Monitor office supplies inventory, coordinate with vendors for restocking, and ensure the workspace is organized and tidy.
- Meeting Support: Set up conference rooms for weekend meetings, arrange catering services if needed, and take minutes when required.
- Mail & Distribution: Sort, distribute, and route incoming mail and packages efficiently to department heads.
- Customer Service: Assist visitors with directions or basic information to ensure a positive experience.
- Reporting: Assist in the preparation of weekend reports and ensure all digital records are up to date.
Qualifications
- Education: High school diploma or GED equivalent required.
- Experience: Previous experience as an Office Assistant, Receptionist, or in a similar administrative role is preferred.
- Availability: Must be available to work Saturday and Sunday (or alternating weekends) consistently.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer navigation.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong attention to detail and the ability to manage multiple tasks in a fast-paced environment.
