Responsibilities
- Calendar & Schedule Management: Manage complex calendars for senior executives, including scheduling meetings, coordinating travel arrangements, and prioritizing conflicting demands.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders via phone, email, and in-person; screen and direct inquiries effectively.
- Document Preparation: Draft, edit, and proofread professional correspondence, reports, presentations, and memos with a high degree of accuracy.
- Office Operations: Oversee office supplies inventory, manage vendor relationships, and ensure the reception area is organized and welcoming.
- Event Coordination: Plan and coordinate company-wide meetings, team-building events, and client gatherings.
- Data Management: Maintain accurate electronic and physical records, filing systems, and databases.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration or related field is preferred.
- Experience: Minimum of 3-5 years of progressive administrative experience in a professional office setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software or scheduling tools.
- Communication: Excellent verbal and written communication skills with a polished professional demeanor.
- Organization: Superior time management skills with the ability to multitask and prioritize tasks under tight deadlines.
- Adaptability: Ability to work independently and collaboratively in a fast-paced environment.
