Responsibilities
- Schedule Management: Coordinate and manage calendars for department heads, including scheduling appointments, meetings, and special events during the weekend hours.
- Communication Hub: Serve as the primary point of contact for incoming calls and emails, ensuring timely and professional responses to patients and staff.
- Data Entry & Filing: Maintain accurate electronic and physical records, including patient files, invoices, and reports. Perform data entry tasks with high attention to detail.
- Office Operations: Oversee the reception area during weekend shifts, manage incoming mail, and assist with inventory management of office supplies.
- Meeting Support: Prepare agendas, take minutes, and organize meeting rooms for weekend staff meetings and training sessions.
- Vendor Coordination: Liaise with external vendors for weekend maintenance and supply deliveries, ensuring all services are rendered efficiently.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field preferred.
- Experience: Previous administrative experience, preferably in a healthcare or corporate setting, is highly valued.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.
- Availability: Must be available to work weekends (Saturday and Sunday) on a recurring basis.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Strong time management skills and the ability to prioritize tasks effectively in a busy environment.
