Responsibilities
- Front Desk Operations: Greet all visitors and clients warmly, managing the reception area to maintain a professional and organized atmosphere.
- Communication Hub: Answer and direct incoming calls with a polite and efficient tone; screen and forward messages to the appropriate department.
- Scheduling Coordination: Manage calendars, schedule appointments, and coordinate meeting rooms to ensure smooth daily operations.
- Administrative Support: Handle incoming mail and prepare correspondence; assist with data entry and filing tasks as needed.
- Customer Relations: Address inquiries via email or in-person, resolving issues promptly and ensuring a high level of customer satisfaction.
- Vendor Management: Assist with ordering supplies and coordinating maintenance services for the office.
Qualifications
- Experience: Previous experience as a receptionist or in a customer service role (1+ years preferred).
- Technical Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
- Communication Skills: Excellent verbal and written communication skills with a friendly, approachable demeanor.
