Responsibilities
- Front Desk Management: Greet all visitors and clients warmly, directing them appropriately and ensuring a professional reception area.
- Communication Hub: Answer incoming calls with a polite and clear telephone manner, screen and route inquiries to the appropriate team members.
- Administrative Support: Manage incoming and outgoing mail, handle courier deliveries, and maintain the organization of the common areas.
- Scheduling: Assist with calendar management, including scheduling appointments and coordinating meeting rooms.
- Data Entry: Perform accurate data entry and maintain up-to-date records in our CRM and filing systems.
- Vendor Relations: Liaise with building management and service vendors regarding office maintenance and security needs.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 1-2 years of professional receptionist or administrative support experience preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Interpersonal: Strong interpersonal skills with the ability to interact with diverse groups of people.
- Organization: Demonstrated ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
