Responsibilities
- Front Desk Management: Greet and welcome all visitors with a warm and professional demeanor, directing them to the appropriate person or area.
- Phone Operations: Answer and screen incoming calls professionally, taking accurate messages and transferring calls as necessary.
- Administrative Support: Handle incoming and outgoing mail, manage the fax machine, and distribute communications to staff members.
- Scheduling: Maintain the company calendar, schedule appointments, and send reminders to clients and employees.
- Office Organization: Keep the reception area tidy and organized, ensuring a welcoming environment for guests at all times.
- Data Entry: Assist with data entry tasks, filing, and maintaining digital and physical records accurately.
- Meeting Support: Set up meeting rooms with necessary equipment and refreshments prior to scheduled events.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or front desk role.
- Education: High school diploma or GED required; additional certification in office administration is a plus.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional phone voice.
- Professionalism: Strong interpersonal skills with the ability to interact positively with people from diverse backgrounds.
- Time Management: Ability to multitask, prioritize tasks, and work efficiently under pressure.
