Responsibilities
- Front Desk Management: Greet and welcome visitors with a warm, professional demeanor, directing them to the appropriate person or area.
- Phone Support: Answer incoming calls professionally, screen them, and transfer to the correct department or take detailed messages.
- Administrative Support: Manage incoming and outgoing mail, handle package deliveries, and distribute faxes as needed.
- Scheduling: Assist with scheduling appointments, meetings, and conference room bookings to ensure the office runs efficiently.
- Inventory Control: Monitor office supply levels and place orders to ensure the front desk is always stocked with necessary materials.
- Customer Relations: Provide exceptional customer service to both external clients and internal staff members.
- Data Entry: Maintain accurate records and update databases with new visitor information or client details.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Education: High school diploma or GED required; Associate’s degree preferred.
- Communication: Excellent verbal and written communication skills with a friendly phone manner.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Organization: Strong attention to detail and exceptional organizational skills.
- Professionalism: Ability to maintain a professional appearance and demeanor at all times.
- Availability: Ability to work full-time, Monday through Friday, with occasional flexibility for evening events.
