Responsibilities
- Guest Management: Greet and welcome visitors in a professional and friendly manner, directing them to their destinations or assisting with inquiries.
- Phone Operations: Answer multi-line phone systems professionally, screen calls, take accurate messages, and route inquiries to the appropriate department.
- Administrative Support: Perform general clerical duties including filing, photocopying, and data entry with a high degree of accuracy.
- Mail Handling: Sort and distribute incoming mail and packages efficiently to ensure timely delivery to staff members.
- Scheduling: Manage meeting room bookings, maintain calendars, and assist with coordinating internal schedules as needed.
- Office Supplies: Monitor office supply inventory and place orders to ensure the front desk and common areas are well-stocked.
- Customer Service: Handle incoming customer questions and resolve issues promptly to maintain high satisfaction levels.
Qualifications
- Education: High school diploma or GED required; additional business training or certification is a plus.
- Experience: Minimum of 1-2 years of professional receptionist or front desk experience.
- Communication: Excellent verbal and written communication skills with a polished and professional telephone manner.
- Technical Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
- Professionalism: Strong interpersonal skills with the ability to interact effectively with people from diverse backgrounds.
