Responsibilities
- Front Desk Operations: Manage the front desk reception, greet visitors warmly, answer multi-line phones professionally, and direct inquiries to the appropriate departments.
- Data Entry Management: Accurately input, update, and maintain company records, databases, and spreadsheets with a high degree of speed and precision.
- Communication: Handle incoming and outgoing correspondence via email, fax, and mail, ensuring timely responses and professional tone.
- Office Organization: Maintain the reception area, manage office supplies inventory, and assist in organizing files both digitally and physically.
- Scheduling: Manage calendars, schedule appointments, and coordinate meeting rooms for internal and external stakeholders.
- Administrative Support: Assist with basic bookkeeping tasks, process expense reports, and prepare correspondence as needed.
Qualifications
- Experience: Previous experience as a receptionist or in a general office administration role (1-2 years preferred).
- Skills: Proven proficiency in data entry with a focus on accuracy and speed; solid working knowledge of Microsoft Office Suite (Excel, Word, Outlook).
- Communication: Excellent verbal and written communication skills; ability to interact professionally with clients and team members at all levels.
- Education: High school diploma or GED required; Associate's degree in Business Administration or related field is a plus.
- Attributes: Strong attention to detail, high level of organization, and the ability to multitask in a busy environment.
