The Role:
As our Receptionist, you will be the first point of contact for our clients and visitors. You will play a critical role in maintaining our office operations through efficient data entry and exceptional customer service.
Responsibilities
- Front Desk Management: Greet and direct visitors with a professional demeanor, answer multi-line phones, and screen incoming calls.
- Data Entry: Perform high-speed, accurate data entry of customer information, invoices, and internal records into our database systems.
- Administrative Support: Manage incoming and outgoing mail, handle faxes, and distribute correspondence efficiently.
- Office Organization: Maintain a clean, organized, and welcoming reception area and conference rooms.
- Scheduling: Assist with calendar management and appointment scheduling for staff members.
- Record Keeping: File documents both electronically and physically, ensuring confidentiality and easy retrieval.
Qualifications
- Experience: Previous experience as a Receptionist or in a general administrative role is preferred.
- Data Entry Skills: Proven ability to type accurately at a speed of 35+ WPM with high attention to detail.
- Software Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Reliability: Ability to work full-time hours with a strong attendance record.
- Education: High school diploma or GED required.
