As a key member of our front office team, you will be the first point of contact for our clients and visitors, ensuring a positive first impression while managing essential data entry tasks.
Responsibilities
- Front Desk Management: Greet visitors and clients warmly, answer multi-line phone systems professionally, and direct inquiries to the appropriate department.
- Data Entry Operations: Accurately input, update, and maintain customer and employee records in our CRM and database systems.
- Administrative Support: Manage incoming and outgoing mail, process faxes, and scan documents as needed.
- Scheduling & Coordination: Assist with booking appointments, managing calendars, and coordinating meeting rooms.
- Inventory Management: Monitor office supply levels and place orders to ensure the front office is fully stocked.
- Customer Service: Handle customer inquiries via email and in-person with a focus on problem-solving and satisfaction.
Qualifications
- Education: High school diploma or GED required; Associate’s degree preferred but not mandatory.
- Computer Skills: Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) is required; typing speed of 35+ WPM is a plus.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Attention to Detail: Strong ability to maintain accuracy while entering data and managing files.
- Reliability: Must be punctual, professional, and able to work in a fast-paced office setting.
