Responsibilities
- Front Desk Management: Greet all visitors and clients professionally, ensuring they feel welcomed and directed to the correct department.
- Phone Operations: Answer incoming calls in a timely and courteous manner, screen them, and take accurate messages or transfer calls.
- Mail & Communications: Sort and distribute incoming mail and packages; manage outgoing correspondence efficiently.
- Administrative Support: Perform light data entry, maintain filing systems, and assist with general office errands as needed.
- Scheduling: Assist with scheduling appointments and maintaining the company calendar to ensure no conflicts.
- Office Maintenance: Monitor the reception area for cleanliness and ensure office supplies are well-stocked.
Qualifications
- Education: High school diploma or GED is required; some college coursework is a plus.
- Experience: Previous experience as a receptionist or in an administrative support role is preferred.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Reliability: Must be punctual, professional, and able to work varied shifts including weekends or evenings if required.
