Responsibilities
- Greet and Welcome Guests: Provide a warm, professional welcome to all visitors, clients, and vendors, ensuring they feel valued immediately.
- Front Desk Management: Answer and screen incoming calls with a polite and helpful tone; route calls to the appropriate departments or take detailed messages.
- Administrative Support: Handle incoming and outgoing mail, manage package deliveries, and maintain the reception area to ensure a pristine environment.
- Scheduling & Calendar Management: Assist in scheduling appointments and managing the company calendar for executive staff.
- Data Entry & Filing: Perform accurate data entry tasks, file documents, and maintain organized digital and physical records.
- Vendor Coordination: Coordinate with external vendors for office supplies, maintenance, and service needs.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or front desk role is preferred.
- Education: High School Diploma or GED required; additional certification in office administration is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with modern CRM software is highly desirable.
- Communication: Exceptional verbal and written communication skills with a professional demeanor.
- Customer Service: Proven ability to deliver high-quality customer service and handle inquiries with patience and efficiency.
- Flexibility: Ability to work a flexible schedule, including some evenings or weekends if required.
