Responsibilities
- Professional Front Desk Management: Greet all visitors, clients, and vendors with a welcoming smile and direct them to the appropriate personnel or conference rooms.
- Communication Hub: Answer incoming calls professionally, screen and transfer inquiries, and take accurate messages with speed and precision.
- Administrative Support: Manage incoming and outgoing mail, handle package deliveries, and maintain the cleanliness and organization of the reception area.
- Scheduling Coordination: Assist in scheduling appointments, managing calendars, and coordinating meeting room bookings for internal staff.
- Database Management: Perform basic data entry tasks and update client information in our CRM systems as needed.
- Client Relations: Address general client inquiries via email or phone, ensuring a high standard of customer satisfaction.
Qualifications
- Experience: Previous experience as a receptionist or in an administrative support role is preferred but not required for immediate consideration.
- Education: High school diploma or General Equivalency Diploma (GED) is required.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn new software systems.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Interpersonal: A friendly, approachable, and professional attitude with the ability to multitask in a fast-paced office setting.
- Availability: Must be available to work a part-time schedule (e.g., 20-30 hours per week) including some flexibility for evenings or weekends.
