Responsibilities
- Manage Communications: Handle incoming calls, screen and route inquiries, and manage incoming correspondence with professionalism.
- Scheduling: Coordinate and schedule meetings, appointments, and travel arrangements for executive staff members.
- Record Management: Organize and maintain both digital and physical filing systems to ensure information is easily retrievable and compliant.
- Administrative Support: Prepare meeting agendas, take accurate minutes, and distribute post-meeting summaries to stakeholders.
- Data Entry & Reporting: Perform accurate data entry tasks using Excel and other software, assisting with monthly reporting and inventory tracking.
- Office Maintenance: Oversee office supplies inventory, place orders when necessary, and ensure the common areas are tidy and organized.
- Customer Service: Greet visitors and clients warmly, directing them appropriately and providing general information about the company.
Qualifications
- Education: High school diploma or equivalent; Associate’s degree in Business Administration or a related field is preferred.
- Experience: Minimum of 2 years of experience in an administrative or office support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software (e.g., Salesforce, HubSpot).
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.
- Adaptability: Ability to adapt to changing priorities and work independently with minimal supervision.
