Responsibilities
- Front Desk Operations: Greet visitors warmly, answer multi-line phone systems professionally, and manage the reception area to ensure a welcoming atmosphere.
- Data Entry Management: Accurately input, update, and maintain employee and client data into our CRM and spreadsheet systems with a focus on 99% accuracy.
- Communication Hub: Serve as the primary point of contact for incoming emails and inquiries, filtering messages and relaying them to the appropriate team members promptly.
- Record Keeping: Organize and maintain both physical and digital filing systems, ensuring documents are easily retrievable and confidential information is secured.
- Scheduling: Manage the company calendar, schedule appointments, and coordinate meeting rooms as required.
- Office Administration: Handle incoming mail, manage inventory for office supplies, and assist with light administrative errands.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Proven experience as a Receptionist or in a similar administrative support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and data entry software.
- Typing Speed: Demonstrated ability to type at least 40 WPM with high accuracy.
- Soft Skills: Excellent verbal and written communication skills; professional and friendly demeanor.
- Reliability: Ability to work independently with minimal supervision and adhere to strict deadlines.
