Responsibilities
- Calendar Management: Schedule, coordinate, and confirm meetings and appointments, effectively managing conflicting priorities and time zones.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders via email, phone, and in-person interactions.
- Document Control: Prepare, proofread, and distribute meeting agendas, minutes, and comprehensive reports with a high degree of accuracy.
- Travel Coordination: Arrange domestic and international travel itineraries, including booking flights, hotels, and transportation logistics.
- Office Operations: Manage incoming mail, packages, and office inventory to ensure supplies are always available.
- Project Support: Assist with ad-hoc projects and data entry tasks to support the wider team's strategic goals.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Business Administration is preferred.
- Experience: Minimum of 1-2 years of administrative support experience in a professional corporate setting.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling tools (e.g., Outlook, Calendly).
- Communication Skills: Excellent written and verbal communication skills with a polished and professional telephone manner.
- Organization: Strong time management skills and the proven ability to multitask and prioritize effectively in a fast-paced environment.
- Adaptability: Ability to adapt to changing priorities and work independently with minimal supervision.
