Responsibilities
- Manage and prioritize complex calendars, schedule appointments, and coordinate meetings for executives.
- Handle incoming communications, including phone calls, emails, and mail, routing inquiries to the appropriate personnel.
- Prepare, proofread, and distribute professional correspondence, reports, and presentations.
- Assist with data entry, maintain accurate digital and physical filing systems, and reconcile expenses.
- Coordinate travel arrangements, including flights, hotels, and itineraries, ensuring all logistics are seamless.
- Prepare meeting materials, take minutes, and follow up on action items to ensure accountability.
- Perform general office duties such as greeting visitors, ordering supplies, and maintaining a tidy workspace.
Qualifications
- High school diploma or equivalent required; Associate’s degree or Bachelor’s degree preferred.
- 1-2 years of proven experience as an administrative assistant or in a similar support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent verbal and written communication skills with a professional demeanor.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
