Responsibilities
- Manage Communications: Screen and redirect phone calls and emails, ensuring all inquiries are addressed promptly and professionally.
- Schedule Coordination: Maintain executive calendars, schedule meetings, and coordinate travel arrangements for weekend events.
- Document Management: Organize, file, and digitize physical and electronic documents to ensure accurate record-keeping.
- Office Operations: Oversee the daily operations of the office during weekend hours, including light reception duties and facility upkeep.
- Data Entry: Accurately input data into CRM systems and spreadsheets, maintaining high data integrity standards.
- Event Support: Assist in the setup and execution of weekend corporate events or client meetings.
- Vendor Liaison: Handle incoming deliveries and coordinate with third-party vendors as needed.
Qualifications
- Education: High school diploma or GED required; Associate’s degree preferred.
- Experience: Minimum of 1-2 years of administrative experience, preferably in a corporate setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Reliability: Must have a proven track record of punctuality and attendance.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Flexibility: Ability to work weekends (Saturday and Sunday) with occasional weekday evening shifts if required.
- Problem Solving: Ability to multitask and handle sensitive information with discretion.
