Responsibilities
- Front Desk Management: Greet visitors and clients with a professional demeanor, manage incoming calls, and direct inquiries to the appropriate departments.
- Administrative Support: Prepare meeting agendas, take detailed minutes, and distribute correspondence to ensure seamless communication.
- Data Entry & Record Keeping: Maintain accurate digital and physical records, including filing systems, expense reports, and employee databases.
- Scheduling: Manage calendars for department heads, schedule appointments, and coordinate travel arrangements.
- Office Supplies: Monitor inventory levels of office supplies and place orders to ensure the office is fully stocked.
- Document Management: Proofread and edit documents, presentations, and reports for accuracy and clarity.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certificate in Office Administration is a plus.
- Experience: Minimum of 1-2 years of experience in an administrative or office support role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software is preferred.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong attention to detail and the ability to multitask effectively in a busy environment.
- Reliability: Must be punctual, dependable, and able to work independently with minimal supervision.
