Responsibilities
- Front Desk Management: Greet visitors, answer multi-line phones, and direct inquiries to the appropriate staff members.
- Scheduling & Coordination: Manage the executive calendar, schedule appointments, and coordinate meetings, including room setup and audio-visual requirements.
- Document Management: Prepare, proofread, and distribute internal memos, reports, and presentations using Microsoft Office Suite.
- Office Operations: Maintain office supplies inventory, order necessary materials, and ensure the reception area is clean and professional.
- Data Entry & Filing: Accurately input data into databases, manage digital and physical filing systems, and assist with expense reporting.
- Customer Support: Respond to incoming emails and customer inquiries promptly and professionally.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certificate in Office Administration is a plus.
- Experience: Proven experience (2+ years) as an Office Assistant, Administrative Assistant, or Receptionist in a corporate environment.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Organization: Exceptional organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced setting.
- Communication: Superior written and verbal communication skills; ability to interact with diverse clients and staff.
- Flexibility: Willingness to adapt to a flexible work schedule, including potential evening or weekend shifts as needed.
