Responsibilities
- Manage and coordinate the front desk operations, including answering multi-line phones, greeting visitors, and managing incoming and outgoing mail.
- Prepare and distribute internal and external communications, including memos, emails, and reports, ensuring accuracy and timeliness.
- Assist in the organization and maintenance of physical and digital filing systems to ensure easy access to records.
- Coordinate and schedule meetings, arrange conference rooms, and prepare meeting materials and refreshments.
- Handle expense reporting and assist with accounts payable and receivable tasks under the guidance of management.
- Provide general administrative support to various departments, including data entry, document formatting, and inventory management.
- Maintain office supplies inventory and place orders as needed to ensure operations run smoothly.
Qualifications
- High school diploma or GED required; Associate’s degree in Business Administration or related field preferred.
- Minimum of 2-3 years of experience in an administrative or office support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent verbal and written communication skills with a professional demeanor.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively in a high-volume environment.
