Responsibilities
- General Administration: Manage incoming and outgoing correspondence, including emails and phone calls, with a professional and courteous tone.
- Scheduling: Maintain the executive calendar, schedule meetings, coordinate travel arrangements, and prepare meeting agendas and minutes.
- Data Management: Perform accurate data entry, maintain digital and physical filing systems, and update customer relationship management (CRM) databases.
- Office Operations: Monitor office supplies, restock break rooms, and ensure the reception area is welcoming and organized.
- Document Preparation: Create, edit, and format documents using Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
- Client Relations: Greet visitors and clients at the front desk, directing them to the appropriate personnel and handling light reception duties.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Business Administration is a plus.
- Experience: Minimum of 1-2 years of experience in an office support or administrative assistant role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with CRM software is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with staff and clients.
- Organization: Strong attention to detail and the ability to prioritize tasks effectively in a fast-paced environment.
- Reliability: Punctual, dependable, and able to work independently with minimal supervision.
