Responsibilities
- General Administration: Oversee the daily operations of the front office, including greeting visitors, answering multi-line phones, and managing incoming and outgoing mail.
- Schedule Management: Coordinate and manage complex calendars, schedule meetings, and prepare meeting agendas and room reservations.
- Document Management: Prepare, proofread, and distribute internal communications, memos, reports, and presentations using Microsoft Office Suite.
- Data Entry & Records: Maintain accurate electronic and physical filing systems, ensuring data integrity and confidentiality of sensitive documents.
- Office Support: Order and maintain office supplies, manage vendor relationships, and assist in onboarding new employees.
- Event Coordination: Assist in planning and logistics for company events and employee engagement activities.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or certification in Business Administration is a plus.
- Experience: Minimum of 2-3 years of experience in an administrative support or office assistant role.
- Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace; excellent typing speed (45+ wpm).
- Communication: Superior verbal and written communication skills with the ability to interact professionally with clients and staff.
- Organization: Strong attention to detail and the ability to prioritize tasks effectively in a fast-paced environment.
- Software: Familiarity with CRM software (e.g., Salesforce, HubSpot) is highly desirable.
