Responsibilities
- Communication Management: Manage and organize incoming emails, faxes, and mail, prioritizing urgent requests and ensuring timely responses.
- Data Accuracy: Perform high-volume data entry tasks and maintain accurate, up-to-date digital records and databases.
- Scheduling & Handover: Assist with night shift scheduling, shift handovers, and comprehensive shift log management.
- Reporting: Prepare daily reports, invoices, and correspondence for the morning shift team to ensure continuity.
- Phone Support: Answer and route phone calls during business hours, ensuring no client inquiries are missed.
- Facility Support: Perform light inventory checks and supply management for the facility.
- Office Maintenance: Assist in maintaining a safe, organized, and secure workspace throughout the night.
Qualifications
- Education: High School Diploma or GED required.
- Experience: Minimum of 1-2 years of administrative experience preferred.
- Availability: Must be available to work night shifts (e.g., 9:00 PM - 6:00 AM or 10:00 PM - 7:00 AM).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Soft Skills: Strong attention to detail, exceptional organizational skills, and the ability to multitask effectively.
- Communication: Excellent written and verbal communication abilities in English.
- Independence: Ability to work independently with minimal supervision.
