Responsibilities
- Front Desk Management: Greet and welcome visitors warmly, manage incoming calls with professional phone etiquette, and direct inquiries to the appropriate staff members.
- Data Entry Operations: Accurately input and update customer and employee information into our CRM and database systems with a high degree of precision.
- Administrative Support: Handle mail distribution, manage office calendars, schedule appointments, and assist with expense reports.
- Document Management: Scan, digitize, and organize physical and electronic documents to ensure easy retrieval and compliance.
- Inventory Control: Monitor office supply levels and place orders as needed to ensure the front desk is always fully stocked.
- Customer Service: Address client inquiries via email or in-person promptly and professionally, resolving issues to ensure high satisfaction.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Business Administration or a related field is a plus.
- Experience: Minimum of 1-2 years of experience in a receptionist, administrative assistant, or data entry role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace; experience with CRM software is highly desirable.
- Typing Speed: Demonstrated ability to type accurately and efficiently (minimum 40-50 WPM).
- Attention to Detail: Exceptional attention to detail with a strong focus on accuracy in data management.
- Soft Skills: Strong interpersonal skills, professional demeanor, and the ability to multitask effectively in a busy office setting.
