Responsibilities
- Manage incoming communications including phone calls, emails, and walk-in inquiries with professionalism and efficiency
- Coordinate calendars, schedule appointments, and maintain organized meeting records for department heads
- Prepare, edit, and distribute official documents, reports, and correspondence ensuring accuracy and timely delivery
- Implement and maintain filing systems (both digital and physical) for efficient document retrieval and compliance
- Assist with procurement processes, inventory management, and office supply coordination
- Support event planning and logistics for community outreach programs and internal meetings
- Perform data entry tasks and maintain accurate databases for departmental records
- Collaborate with cross-functional teams to ensure smooth workflow and project execution
Qualifications
- High school diploma or equivalent; associate degree or relevant certification preferred
- Minimum 2 years of administrative support experience in office or public sector environment
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Exceptional organizational skills with ability to prioritize tasks in a fast-paced setting
