Responsibilities
- Front Desk Management: Greet and welcome guests with a professional and friendly demeanor; manage visitor log and sign-in procedures.
- Communication: Answer and direct phone calls to appropriate departments; take accurate messages and screen incoming calls.
- Scheduling: Manage the executive calendar, schedule appointments, and coordinate meeting rooms, including sending calendar invites and preparing agendas.
- Administrative Support: Handle incoming and outgoing mail and packages; distribute mail and faxes; perform basic data entry and filing tasks.
- Office Operations: Monitor inventory levels for office supplies; coordinate with vendors for office maintenance and equipment repairs.
- Customer Relations: Assist visitors with directions and inquiries; ensure a welcoming and organized reception area at all times.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 2 years of experience in a receptionist or front desk role.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and modern phone systems.
- Communication: Excellent verbal and written communication skills with a focus on customer service.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
