Responsibilities
- Greet all visitors and clients warmly, ensuring a positive first impression.
- Manage a multi-line phone system, screening calls and directing inquiries to the appropriate staff members.
- Schedule and coordinate appointments using Google Calendar or Outlook.
- Handle incoming and outgoing mail, packages, and courier deliveries efficiently.
- Perform data entry tasks and maintain accurate digital and physical filing systems.
- Assist with general administrative duties, including copying, scanning, and preparing meeting materials.
- Update and maintain the company CRM database with client and visitor information.
Qualifications
- High school diploma or GED is required.
- Minimum of 1-2 years of professional receptionist or administrative experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask effectively.
- Professional appearance and demeanor.
- Bilingual (English/Spanish) is a plus.
