Responsibilities
- Manage Front Desk Operations: Greet visitors professionally, manage the reception area, and ensure a welcoming atmosphere for all guests and clients.
- Communication Hub: Answer and direct incoming phone calls with a polite and efficient manner; screen and relay messages accurately.
- Administrative Support: Handle incoming and outgoing mail, manage couriers, and distribute correspondence promptly.
- Scheduling: Maintain and update calendars, schedule meetings, and coordinate conference rooms to ensure smooth operations.
- Data Entry & Records: Maintain accurate records of visitors, manage filing systems, and assist with general office administration as needed.
- Customer Relations: Address client inquiries with patience and professionalism, escalating complex issues to management when necessary.
Qualifications
- Experience: Minimum of 1-2 years of professional receptionist or front desk experience.
- Education: High school diploma or GED required; additional certification in office administration is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with modern phone systems.
- Communication: Excellent verbal and written communication skills; ability to communicate effectively with diverse populations.
- Professionalism: Must possess a professional demeanor, strong time management skills, and the ability to multitask in a busy environment.
