Responsibilities
- Guest Relations: Greet and welcome all visitors, clients, and vendors with a professional and friendly demeanor; determine the nature of their visit and direct them appropriately.
- Phone Management: Answer a high volume of incoming calls in a polite and efficient manner; screen calls, take messages, and transfer to the correct department or individual.
- Administrative Support: Perform general clerical duties including data entry, filing, copying, and scanning documents to ensure office records are organized and up to date.
- Calendar Management: Manage the daily schedule of executive staff, including scheduling meetings, coordinating conference rooms, and sending calendar reminders.
- Mail & Communication: Sort and distribute incoming mail and packages; manage outgoing mail and courier services; distribute interoffice communications.
- Office Maintenance: Maintain the reception area and common areas to ensure a clean and professional appearance at all times.
- Vendor Liaison: Coordinate with external vendors and service providers as needed for office upkeep and repairs.
Qualifications
- Experience: Minimum of 1-2 years of professional front desk or receptionist experience in an office setting.
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or a related field is a plus.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to prioritize tasks and manage time effectively in a busy environment.
- Professionalism: Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information.
