Responsibilities
- Front Desk Management: Greet and welcome guests warmly, manage visitor log-ins, and direct inquiries to the appropriate departments efficiently.
- Phone Operations: Answer multi-line phone systems with a professional tone, screen calls, and take accurate messages or route calls to the correct staff members.
- Administrative Support: Perform general clerical duties including data entry, filing, copying, and scanning documents to maintain organized records.
- Schedule Management: Manage the reception area calendar, schedule appointments, and coordinate meeting rooms.
- Mail and Communications: Sort and distribute incoming mail and packages, and handle outgoing correspondence.
- Customer Service: Address client needs and resolve any minor issues or concerns promptly to ensure high satisfaction.
- Office Maintenance: Maintain a tidy and professional reception area, ensuring supplies are stocked.
Qualifications
- Education: High School Diploma or GED required; Associate's degree or certification in Office Administration is a plus.
- Experience: Minimum of 1-2 years of experience as a Receptionist or in a front desk administrative role.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Strong organizational skills with the ability to multitask in a fast-paced environment.
