Responsibilities
- Greet and Welcome Guests: Provide a warm and professional welcome to all visitors, clients, and employees, ensuring a positive first impression.
- Phone Management: Answer, screen, and forward incoming calls with a polite and helpful tone; manage voicemails and take accurate messages.
- Administrative Support: Handle front desk duties including filing, data entry, and maintaining accurate office records and databases.
- Scheduling & Coordination: Manage the company calendar, schedule appointments, and coordinate meeting room setups.
- Mail and Delivery: Receive and distribute incoming mail and packages efficiently to the appropriate departments or individuals.
- Office Supplies: Monitor office inventory and coordinate with vendors to ensure the reception area and general office are well-stocked.
- Customer Service: Assist visitors with directions, provide information about the company, and resolve general inquiries professionally.
Qualifications
- Education: High school diploma or GED required; additional certification in office administration is a plus.
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with basic office equipment (printers, scanners, copy machines).
- Interpersonal Skills: Ability to multitask in a fast-paced environment while maintaining a friendly and approachable demeanor.
- Appearance: Professional appearance and grooming standards are mandatory.
