Responsibilities
- Manage executive calendars, scheduling appointments, and coordinating complex meeting logistics
- Handle incoming communications, including phone calls, emails, and correspondence with professionalism
- Prepare, edit, and distribute confidential documents, reports, and presentations
- Coordinate office supplies inventory, equipment maintenance, and vendor relationships
- Support travel arrangements and expense reports for executive team members
- Maintain organized filing systems both physical and digital for critical company records
- Assist with onboarding new hires and office administrative projects
Qualifications
- Minimum 3 years of administrative or office support experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional organizational skills with attention to detail
- Strong written and verbal communication abilities
- Ability to maintain confidentiality and handle sensitive information
- Experience with scheduling software (e.g., Calendly, Doodle)
- Proactive problem-solving skills and adaptability to changing priorities
- Associate's degree or equivalent professional certification preferred
