Responsibilities
- Manage executive calendars and coordinate complex meeting schedules across multiple time zones
- Handle incoming communications with professionalism and discretion, including phone, email, and video conferencing
- Oversee visitor protocol including badge issuance, meeting room setup, and catering arrangements
- Coordinate domestic and international travel arrangements including flights, accommodations, and itineraries
- Maintain office supplies inventory and vendor relationships for reception area needs
- Support special events planning including quarterly board meetings and client functions
- Assist with administrative tasks including document preparation and expense reporting
Qualifications
- Minimum 3 years of executive-level receptionist or administrative assistant experience
- Proficiency in Microsoft Office Suite and scheduling software (Outlook, Calendly)
- Exceptional communication skills with polished phone etiquette and professional demeanor
- Ability to handle confidential information with discretion and maintain strict confidentiality
- Strong organizational skills with attention to detail and ability to prioritize tasks
- Experience coordinating domestic/international travel and complex itineraries
- Associates degree or equivalent professional certification preferred
