Responsibilities
- Manage multi-line phone system with professionalism, routing calls and taking detailed messages
- Greet and screen visitors, providing exceptional first impressions and security protocols
- Coordinate executive calendars, appointments, and travel arrangements
- Process incoming/outgoing mail, packages, and office supplies inventory
- Assist with office administration: data entry, filing, document preparation
- Support HR functions onboarding and event coordination
- Maintain confidential records and sensitive information with discretion
- Collaborate with cross-functional teams to ensure seamless operations
Qualifications
- Minimum 3 years executive receptionist or administrative support experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Exceptional verbal/written communication and interpersonal skills
- Strong organizational abilities with attention to detail
- Professional demeanor and polished business etiquette
- Ability to multitask and prioritize in high-pressure situations
- Experience with office equipment (phone systems, copiers, scanners)
