Responsibilities
- Manage multi-line phone system with exceptional call routing and message-taking
- Coordinate executive calendars, travel arrangements, and meeting logistics
- Oversee visitor protocol, including badge issuance and appointment scheduling
- Manage office supplies inventory and vendor relationships
- Process incoming/outgoing mail and packages with tracking systems
- Assist with onboarding paperwork and new employee orientation
- Maintain confidential client and employee records with HIPAA compliance
Qualifications
- 3+ years executive receptionist or administrative experience
- Proficiency in Microsoft Office Suite and scheduling software
- Exceptional multitasking abilities in fast-paced environments
- Professional appearance with polished communication skills
- Knowledge of New Orleans business etiquette and geography
- Ability to handle confidential information with discretion
- Associate's degree or equivalent professional certification required
