Responsibilities
- Manage multi-line phone system with 50+ daily calls, prioritizing executive communications
- Coordinate executive calendar management across 15 C-suite members
- Oversee visitor protocol including client check-ins, badge issuance, and conference room bookings
- Process incoming/outgoing mail, packages, and courier services with 100% accuracy
- Assist with travel arrangements, expense reports, and vendor coordination
- Lead office supply inventory management and vendor relationships
- Support special events including quarterly board meetings and client receptions
Qualifications
- Associate's degree or 3+ years corporate receptionist/admin experience
- Expertise in Microsoft Office Suite and scheduling platforms (Outlook/Calendly)
- Exceptional verbal/written communication skills with professional demeanor
- Experience managing multi-line phone systems (Avaya/VoIP preferred)
- Ability to handle sensitive information with strict confidentiality standards
- Proficiency in office equipment (copiers, scanners, badge systems)
- Demonstrated problem-solving skills with high-pressure situations
