Responsibilities
- Front Desk Operations: Manage the reception area with professionalism, greeting visitors, answering multi-line phones, and directing inquiries to the appropriate personnel.
- Calendar Management: Schedule meetings, coordinate conference room bookings, and manage executive calendars to ensure optimal time management.
- Administrative Support: Prepare meeting materials, take detailed minutes, and handle confidential correspondence with the utmost discretion.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation.
- Office Management: Monitor office supply inventory, manage vendor relationships, and assist with basic IT troubleshooting as needed.
- Event Support: Assist in organizing company events, team-building activities, and client luncheons.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
- Experience: Minimum of 2-3 years of experience in an administrative or receptionist role within a corporate setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Communication: Excellent verbal and written communication skills with a professional and polished demeanor.
- Organization: Strong attention to detail and the ability to prioritize tasks in a dynamic environment.
