Responsibilities
- Manage complex executive calendars, coordinate high-level meetings, and arrange domestic/international travel logistics
- Prepare and edit confidential correspondence, reports, and presentations using advanced Microsoft Office Suite capabilities
- Serve as primary liaison between executives and internal/external stakeholders with polished communication
- Oversee departmental budget tracking, expense reports, and vendor contract management
- Coordinate office operations, including supply inventory, equipment maintenance, and facility services
- Lead onboarding processes for new hires and maintain comprehensive departmental documentation
- Implement and optimize administrative workflows using digital tools (MS Teams, SharePoint, Asana)
Qualifications
- Minimum 5 years progressive experience supporting C-level executives in corporate environments
- Expert proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and Google Workspace
- Proven ability to manage competing priorities with exceptional attention to detail
- Strong knowledge of corporate etiquette and confidential information handling protocols
- Associates degree in Business Administration or related field (Bachelor's preferred)
- Experience with calendar management tools (Calendly, Doodle) and video conferencing platforms
- Ability to work flexible hours including occasional evenings for critical deadlines
