Responsibilities
- Calendar Management: Manage complex calendars, schedule meetings, and coordinate appointments to ensure optimal time management for the executive team.
- Communication Hub: Serve as the primary point of contact for incoming calls and emails, responding professionally and routing inquiries to the appropriate personnel.
- Document Control: Prepare, organize, and maintain confidential files, reports, and presentations with high attention to detail.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, accommodations, and ground transportation.
- Office Operations: Oversee office supply inventory, process invoices, and handle general clerical duties to keep the office running efficiently.
- Event Support: Assist in planning and organizing company events, team-building activities, and client meetings.
Qualifications
- Experience: Proven experience as an Administrative Assistant or in a similar role (1-2 years minimum).
- Education: High school diploma or GED required; Associate degree or relevant certification is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software.
- Soft Skills: Exceptional organizational skills with the ability to multitask in a fast-paced environment.
- Interpersonal: Strong verbal and written communication skills with a professional demeanor.
- Language: Fluent in English; bilingual in Spanish is highly preferred due to the Miami location.
