Responsibilities
- Manage multi-line phone systems, screen calls, and route inquiries to appropriate personnel
- Coordinate complex calendars, schedule meetings, and maintain executive appointment systems
- Process incoming/outgoing correspondence, manage mail distribution, and maintain filing systems
- Prepare and edit confidential documents, reports, and presentations using Microsoft Office Suite
- Assist with onboarding processes, new hire orientation, and office supply inventory management
- Handle vendor relationships, purchase orders, and expense report processing
- Support cross-departmental projects with data entry, report compilation, and presentation preparation
Qualifications
- Associate's degree in Business Administration or equivalent experience required
- Minimum 2 years of administrative support experience in fast-paced environments
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional organizational skills with ability to prioritize multiple competing tasks
- Strong written and verbal communication skills with professional demeanor
- Proven ability to maintain confidentiality and handle sensitive information
- Flexibility to work Saturdays and Sundays with occasional holiday coverage
- Valid Texas driver's license and reliable transportation
