Responsibilities
- Office Management: Oversee the day-to-day operations of the front office, including greeting visitors, managing the reception area, and ensuring a professional environment.
- Scheduling & Coordination: Manage complex calendars, schedule meetings, book travel arrangements, and coordinate events for executive leadership.
- Communication: Serve as the primary point of contact for incoming calls and emails, filtering inquiries and escalating urgent matters appropriately.
- Document Management: Prepare, proofread, and distribute internal memos, reports, and presentations using Microsoft Office Suite and other industry-standard software.
- Data Entry & Records: Maintain accurate and up-to-date digital and physical filing systems, ensuring confidential information is secured and easily retrievable.
- Vendor Relations: Handle administrative tasks related to vendor communications, supply orders, and office supply inventory management.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 2-3 years of proven experience in an administrative or executive support role.
- Technical Skills: Proficient in MS Word, Excel, PowerPoint, and Outlook; experience with CRM software is highly desirable.
- Communication: Exceptional verbal and written communication skills with a professional and polished tone.
- Organization: Strong attention to detail and the ability to prioritize multiple tasks in a fast-paced setting.
- Problem Solving: Ability to troubleshoot office issues independently and make sound decisions under pressure.
- Availability: Must be available for immediate start and flexible hours as needed.
