Responsibilities
- Office Operations: Oversee the daily operations of the office, including managing incoming mail, handling incoming calls, and greeting visitors with a professional demeanor.
- Scheduling & Calendar Management: Manage complex calendars for executive staff, schedule meetings, coordinate travel arrangements, and prepare meeting agendas and materials.
- Document Management: Prepare, edit, and format internal and external documents, reports, and presentations using Microsoft Office Suite.
- Communication: Act as the primary point of contact for internal and external stakeholders, drafting emails, memos, and correspondence with a high level of professionalism.
- Data Entry & Record Keeping: Maintain accurate and up-to-date electronic and physical records, including filing systems, expense reports, and inventory logs.
- Project Support: Assist in special projects as assigned, conducting research and compiling data to support team initiatives.
- Vendor Management: Liaise with vendors and service providers to ensure office supplies are stocked and services are rendered efficiently.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
- Experience: Minimum of 2-3 years of experience in administrative support, office management, or a related field.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software or project management tools is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to interact with individuals at all levels of the organization.
- Organization: Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
