Responsibilities
- Calendar & Scheduling: Manage complex calendars, schedule appointments, and coordinate internal and external meetings with precision.
- Communication Management: Handle incoming and outgoing emails, phone calls, and correspondence, ensuring a professional and timely response.
- Document Preparation: Draft, proofread, and distribute professional correspondence, reports, and presentations using Microsoft Office Suite.
- Office Operations: Maintain office supplies inventory, manage filing systems (both digital and physical), and coordinate office maintenance as needed.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation.
- Event Support: Assist in organizing company events, conferences, and team-building activities, including logistics and attendee management.
- Data Management: Perform accurate data entry and maintain up-to-date databases and records.
Qualifications
- Education: High school diploma or equivalent (Associate’s degree in Business Administration or related field is preferred).
- Experience: Proven experience (2+ years) as an Administrative Assistant or in a similar support role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Soft Skills: High level of integrity, discretion, and the ability to work independently with minimal supervision.
